We are seeking a highly organised, discreet and efficient Personal Assistant to support the Managing Partner of a highly reputable and successful accountancy firm with stunning offices in Mayfair.
This role requires exceptional communication skills, ability to prioritise workloads, a proactive approach to problem-solving, and the ability to work effectively with minimal supervision.
The successful candidate will be responsible for managing the Partner’s calendar, arranging meetings and appointments, handling correspondence, and assisting with a range of administrative tasks. You must also be confident in liaising with the wider team, drafting emails and documentation and enjoy having autonomy over your work.
The role is office-based in London, W1.
Key responsibilities and tasks:
- • Close involvement in the Partner’s organisation, task lists, email and document management for client projects and their practice management work.
- • Managing the Partner’s diary and arranging appointments and meetings on their behalf.
- • Acting as the point of contact between the Partner and their clients and the wider team.
- • Providing administrative support such as occasional dictation, drafting reports, letters and emails, updating spreadsheets and filing paperwork. Proof reading and quality control checks.
- • Managing the Partner’s billing processes, including analysing the time spent on work by the firm’s employees, understanding what work has been done in collaboration with colleagues, drafting invoices and related correspondence.
- • Working collaboratively and flexibly with the wider internal support team to maintain phone and building reception cover. Assisting with other general office duties as required from time to time.
- • Assisting with website design, blog posts, social media, and any other ad-hoc projects as required.
- • Assisting to coordinate with the Environmental Steering Group to support their initiatives and ensure the firm's environmental, social and governance goals are met.
- • Maintaining an up-to-date understanding of the Firm's Ethos, services and offerings to better assist clients and team members.
The successful candidate will:
- • Have proven work experience as a Personal Assistant in a fast-paced professional environment.
- • High level of proficiency in Microsoft Office and English proficiency, particularly Outlook, Word, Excel and PowerPoint is required. Experience with software such as CCH, CaseWare or Virtual Cabinet is preferable.
- • Exceptional organisational and time management skills with the ability to multitask and prioritise effectively.
- • Strong verbal and written communication skills and the ability to build relationships with a diverse range of individuals.
- • Professionalism and attention to detail, with a commitment to delivering high-quality work.
- • Demonstrated ability to handle confidential information with discretion and maintain confidentiality at all times.
Your working week will be Monday to Friday, 37.5hr week. The working hours for this role are 9.30am to 6.00pm, and ideally you would attend the office 5 days a week to compliment the Managing Partners schedule, with the option to work flexibly from home, on an agreed basis, for personal appointments or when the Managing Partner is away from the office for a period of time.
You will be entitled to 22 days annual leave plus bank holidays some of which must be taken between Christmas and New Year when the office closes.
You will qualify and be auto-enrolled in the NEST pension scheme. Currently the firm pay an enhanced contribution of 6% of your qualifying earnings, and you must pay a minimum of 2%. If you elect to opt out, the firm can be flexible and the same contribution is available to be paid into your personal pension scheme.
